Client Records and AI-Assisted Note-Taking
We collect and process your personal data to manage appointments, deliver coaching and holistic treatments, and fulfill our administrative and legal obligations. To ensure accurate and high-quality record-keeping, we utilize secure, enterprise-grade tools:
Acuity Scheduling: Used for appointment booking, as well as sending and securely storing initial consultation forms and consent forms prior to your session. If consultation forms are completed in person, they are securely digitized and stored electronically.
Google Drive (Google Workspace): Used to securely store client intake questionnaires, coaching notes, and transcript summaries. Access is strictly restricted to authorized personnel under enterprise administrative controls.
AI Voice Recording (Google Gemini Note Taker): During sessions, we may use Google Gemini within Google Workspace to transcribe session audio. This transcript is reviewed by your Coach and used solely to support the creation of accurate coaching notes.
How Your Audio and Document Data Is Handled
Your voice recordings, transcripts, and session documents are transmitted and stored securely on Google Cloud infrastructure under enterprise-grade Google Workspace privacy protections.
Audio, transcripts, and stored files remain strictly isolated to our organization, are never used to train public AI models, and are retained only as governed by our internal admin retention policies and GDPR-compliant data processing agreements. Google Workspace operates under a SOC 2 Type II certified security framework.
Lawful Basis for Processing
Standard Personal Data: We process your personal data under Article 6(1)(f) of the UK GDPR (Legitimate Interests), to manage client relationships and maintain accurate operational records.
Special Category Data (Health Data): We process sensitive health data based on your explicit consent under Article 9(2)(a) of the UK GDPR, provided when you complete your initial consultation and consent forms.
Transparency
You will always be informed at the start of your appointment if AI voice recording is in use. If you have any questions or concerns about this process, please speak to your coach or contact us directly.
Website Users
Our website, hosted by Squarespace, collects minimal personal data (such as your name and email address) when you contact us through our website contact forms or subscribe to our mailing list. Please note that standard email transmissions over the public internet may not be end-to-end encrypted.
Sharing Your Personal Data
Your personal data will be treated as strictly confidential. We will only share your information under the following limited circumstances:
With your explicit written consent
When required to do so by law, court order, or law enforcement agencies
In an emergency, to protect your vital interests (life or safety) or those of another person

How Long Do We Keep Your Personal Data?

In accordance with legal, insurance, and regulatory requirements, client records (including questionnaires, coaching notes, and session summaries) are retained for seven (7) years after you cease to be a client, after which they are securely deleted.
